Cohoist Privacy Policy

Welcome to Cohoist ("Service"), provided by Cohoist LLC ("we", "us"). This Privacy Policy explains how we collect, use, secure, and share information when you ("Subscriber", "you"), an organization, interact with us via our website (cohoist.com), subdomains, signup forms, or the Platform (our cloud-based case management, training, and workforce development software). "Clients" are the individuals your organization serves via the Platform, whose data you input. This policy applies to Subscribers—see our Terms of Service for full terms.

1. Information We Collect

1.1 Website Interactions: When you request a demo or apply for a community license on our website, we collect information you provide (e.g., name, email, organization details). If you sign up for a free trial, we collect your organizations's name and contact email—payment details are collected via Stripe only if you opt into a paid plan after the trial.

1.2 Platform Data: After signup, you access the Platform using a one-time password sent to your email. We collect data you input, including Client Data (e.g., names, contact info of individuals you serve) via User or Client Accounts, and other information (e.g., settings, custom dashboards)—features available per your subscription tier.

1.3 Usage Data: We automatically collect data on how you use our website and Platform (e.g., page visits, login times, feature usage) to improve our Service.

1.4 Client SMS Information: When Subscribers input or Clients provide phone numbers and SMS consent preferences during enrollment or intake, we collect this information to enable transactional SMS notifications on behalf of the Subscriber (e.g., program updates, reminders, confirmations). We do not use phone numbers for marketing.

2. How We Use Your Information

2.1 Service Delivery: We use Website Interactions to process demo requests or community license applications, and Signup Information to create and manage your account and send one-time passwords. Payment details, if provided, are processed via Stripe for billing after the trial.

2.2 Platform Data: We process Client Data and other Platform inputs as directed by you to provide features (e.g., case tracking, Client Accounts, custom dashboards).

2.3 Analytics: We may anonymize Platform Data and Usage Data to analyze trends, improve the Service, or develop features—never identifying you or your Clients without consent.

2.4 Support: We use Website Interactions, Signup Information, and Usage Data to respond to your inquiries via the help and support form within the Platform.

2.5 SMS Notifications: The Platform enables Subscribers to send transactional SMS to their Clients for program-related purposes only. These messages are sent with explicit opt-in consent obtained via intake or user settings. Consent is not required for program participation, but is required before receiving SMS notifications. Messages include "Reply STOP to opt out." Standard message and data rates may apply. Opt-outs are honored immediately.

3. How We Share Your Information

3.1 Third-Party Vendors: We share Signup Information and payment details (after trial, if applicable) with Stripe for billing, and use Azure (Microsoft) to host the Platform, process Website Interactions, Platform Data, and facilitate SMS communications on behalf of Subscribers. These vendors act under our instructions and their privacy policies.

3.2 Legal Requirements: We may disclose information if required by law (e.g., court order) or to protect our rights, safety, or property.

3.3 No Other Sharing: We do not sell, rent, or share your Website Interactions, Signup Information, or Platform Data with third parties for marketing without your consent.

4. Security

4.1 We use industry-standard measures (e.g., encryption, access controls) to protect Website Interactions, Signup Information, and Platform Data. We protect Client SMS information with encryption and access controls. We maintain logs of SMS consent and deliveries for compliance. You are responsible for securing your email account used for login and any data you input.

4.2 If we detect a data breach affecting your information, we'll notify you within 72 hours and mitigate, per NC Gen. Stat. § 75-61 et seq.

5. Your Rights and Choices

5.1 Access and Export: You may access or export your Signup Information and Platform Data anytime during your Service Term using Platform tools.

5.2 Cancellation: Cancel your subscription anytime via account settings or the help and support form—see our Terms of Service (Section 4). Post-cancellation, we may delete your data after 90 days unless legally required to retain it.

5.3 Contact: For questions or requests about your data, use the help and support form within the Platform.

5.4 SMS Features: Clients may opt out anytime by replying STOP (or equivalents) or disabling SMS in settings. Opt back in via START/YES/UNSTOP or settings. Reply HELP for info.

6. Changes to This Policy

6.1 We may modify this Privacy Policy at any time, effective immediately. Continued use of the Service means you accept the updated policy—you may cancel with 30 days' notice if disagreeing (see Terms of Service, Section 9.4).
